Reminders and how often they are sent

To help users stay on top of their data collection tasks and manage their workload efficiently, reminder emails are sent. Users receive reminders after receiving a data request until they answer. These reminders apply across all modules.


Here's how they work:



Reminder emails for Entity Managers:

  • Weekly reminders: Sent to users assigned as Entity Managers for all reports that include their entity, if the entity hasn’t been marked as completed.

  • Daily reminders: Start 4 days before a report’s due date and continue until the entity is marked as completed.

  • Past-due reminders: If the entity is still incomplete after the due date, daily reminders continue.

  • One consolidated email: If a user manages multiple entities or reports, they receive a single summary email instead of multiple individual messages.



Reminder emails for Dataproviders:

  • Next-day reminders: Sent when a PENDING request is due the next day
  • Same-day reminders: Sent when a PENDING request is due today
  • Periodic reminders: Sent when a PENDING request is 1, 3, 5, or 7 days past
  • Review reminders: Sent to the request sender if a request has been in REVIEW status for 7 days
  • Multiple reminders on the same day: Instead of sending multiple emails, a single consolidated email summarizes all requests that need attention, with a link to the requests list
