How to send preventative measures

Once risks have been identified, it is time to prevent, stop or minimize these risks. One way to do this is to send out preventive measures. These refer to measures that a supplier can take before the risks lead to (further) negative consequences.
At Daato, the content of the preventive measures is based on the self-assessment questionnaire or is very similar to it. So if you want to request prevention measures, you will see that the categories and measures are similar to those in the self-assessment questionnaire. This is because we can use the scoring model that is also used for the questionnaire.
One advantage of this is that you can work with suppliers who were unable to answer the self-assessment questionnaire completely satisfactorily, for example, to achieve a better scoring. With the help of the preventive measures, you can require these suppliers to implement the internal guidelines that are not yet in place, for example, after completing the self-assessment. The supplier can then improve its risk scoring, which was previously based solely on the abstract risk analysis and the self-assessment questionnaire.
So how exactly does requesting prevention measures work?
The easiest way is to click on one of the suppliers in the supplier directory and navigate to the supplier profile. By clicking on “Actions” and then clicking on “Request preventive measures” in the drop-down list, you will be taken to a pop-up window in which you can specify further details.
First, you can set a deadline.
In the second step, you can then select various preventive measures. Depending on the supplier's previous risk scoring in the various risk categories, only categories for which the supplier has not yet provided any or only unsatisfactory information are displayed here. Click on “Next” when you have completed your selection.
In the third and final step, you can enter a message to the supplier.
After you have clicked on “Create”, you will receive a confirmation message and see the detailed request in the 'requests'. An individual request is sent for each requested prevention measure. The reason for this is that the supplier can then plan and carry them out separately and does not have to carry them all out in one go.
What does the supplier see?
The supplier will then receive an email which they can use to access Daato and an overview of all the requests they have received from you.
By clicking on the corresponding request, the supplier can now see the requirements and background information on the requested prevention measure. By answering the questions, the supplier can then either confirm directly that they have introduced the measures and in what form and then provide you with feedback.
Otherwise, the supplier can plan the measure up to a certain date.
