Sending Requests to Suppliers in the Supply Chain Module

In the Supply Chain module, you can send different types of requests to your suppliers, such as self-assessments (SAQ), preventative measures, or remedial actions. These requests help collect information, ensure compliance, and track follow-up actions from suppliers.


Prerequisites

Before sending a request, make sure that:

  • The supplier profile includes a valid contact email address.

  • There is no identical request already open for that supplier (status “In Review”).

If these conditions are not met, the system will not allow you to send a new request.


How to Send a Request

Once the prerequisites are fulfilled:

  1. Open the supplier profile.

  2. Click the Actions button.

  3. Select the type of request you want to send (SAQ, Preventative Measures, or Remedial Actions).

  4. Follow the on-screen steps for that request type.

  5. Click Send to issue the request.


Important Notes

  • If a self-assessment (SAQ) request is still under review, the Preventative Measures option will be greyed out. It only becomes available after the SAQ is completed.

  • If admins are saved as the supplier contact email, they will not be able to respond to or submit requests. The email will be stored, but replies will not work. If customers want admins to handle supplier requests, inform them that this is not possible.

  • If module managers are saved as the supplier contact email, they can respond to and submit requests.

This process ensures that the right people receive and respond to supplier requests while avoiding duplicate or conflicting submissions.
